Terms of Service
Effective 5 September 2026
These terms are the agreement between you and Careproof AI Pty Ltd (ACN 702 587 184, ABN 58 702 587 184) for using the Careproof platform: the web app, the Careproof Worker app, and the coordinator and auditor portals. By creating an account or using a link we email you, you accept them. If you are creating an account for an organisation, you confirm you may bind it.
Accounts and who does what
- A provider account is owned by the person who creates it. The owner is responsible for everyone they invite and for what is entered under the account.
- Workers use the Careproof Worker app or the web sign-in. A worker's account is theirs; the records of shifts they deliver belong to the provider they deliver them for.
- Support coordinators and auditors get free accounts. What they see is decided by the provider, per participant and per engagement.
- Keep your sign-in to yourself. Tell us straight away if you think someone else has used it.
Seats and prices
Provider plans are priced per seat. A seat is a person: the account owner is one seat, and each worker on the team is one seat. Every plan has a minimum of five seats. Prices are in Australian dollars and exclude GST; if GST becomes payable it is added at the rate that applies.
Monthly plans are billed at the start of each month. Annual plans are billed at the start of each year at 20 percent off the monthly rate. Adding seats is charged from the day they are added; removing seats takes effect at the next billing date, and the seat count can never go below the seats in use.
Current prices are on the billing page. We can change prices with 30 days' notice by email; a change does not apply to an annual plan until it renews.
Free trial
A new provider account starts with a 14-day free trial of the Audit Ready plan. A payment card is required to start it. Exports (documents, registers and the audit dossier) are unlocked by your first payment. At the end of the 14 days the plan you chose begins and your card is charged, unless you cancel before then, which you can do from the billing page in one click. We remind you by email before the trial ends.
Founding offer
A limited number of founding providers, by invitation, receive the Commission Shield plan at a founder rate per seat, locked for as long as they stay on Commission Shield. The founding offer includes 30 days free with a card on file, then billing at the founder rate. Moving off Commission Shield ends the founder rate; moving back does not restore it. The founder rate is not combined with any other discount, including the annual discount. Referral credits apply from the first paid invoice.
Cancelling and refunds
You can cancel at any time from the billing page. Your plan runs to the end of the period you have paid for and does not renew, and no further charges apply after that. We do not refund payments already made, including part-used periods; the free trial exists so you can judge Careproof before any money moves. Nothing in this section limits your rights under the Australian Consumer Law. After cancellation your account moves to read-only so you can export your records; see "Your data" below.
What Careproof is, and is not
Careproof gives you tools: document templates and drafts, compliance scoring, registers, rostering, evidence capture, invoicing and audit packs. It does not make you compliant. Meeting the NDIS Practice Standards, the NDIS Code of Conduct, the NDIS Commission's rules and every other law that applies to your service remains your responsibility, and an auditor's findings are the auditor's.
Careproof reads and validates an uploaded worker document, checks the expiry date and the details typed against the document, and warns before a clearance lapses. It does not confirm a clearance against the issuing authority's register; that remains the provider's obligation.
Drafts produced with AI assistance are starting points. Read them, change what needs changing, and approve them yourself before you rely on them. Nothing Careproof produces is legal, financial or clinical advice.
Prices and support items come from the NDIS Pricing Arrangements and Price Limits as published. We keep them current, but the NDIA's published version is the one that binds you.
Your obligations
- Enter information that is accurate and that you are entitled to enter. Participants' and workers' information goes in on the basis that you have the right to collect it and have told them how it is used.
- Use the platform only for delivering and managing NDIS or similar supports. No unlawful content, no attempts to access another account's data, no reselling access, no scraping.
- Keep your own records of what you are legally required to keep. Careproof keeps them for you as set out in the Privacy Policy, but the obligation is yours.
Workers and the directory
A worker who lists in the worker directory chooses what the profile shows and can unlist at any time. Contact details are shared with a provider only when the worker agrees to that provider's request, and the agreement is recorded. A provider who receives a worker's details uses them to arrange an interview and for nothing else.
Auditors and coordinators
An auditor sees only the engagements a provider opens with them and only what the provider sends. An auditor keeps that material confidential and uses it for the audit alone. A support coordinator sees a provider's compliance and delivery information only where the provider has switched that on, and only for the participants that coordinator coordinates.
Your data
The records you enter are yours. You can export them from the platform at any time your plan is paid. If you close your account, you have 30 days of read-only access to export, after which we delete your records, except where the law or your retention obligations under the NDIS Practice Standards require us to keep them for the seven-year period, in which case we keep them for you and delete them when it ends.
A worker can delete their own account from the app. Their sign-in is removed at once and their personal details are stripped after a seven-day grace period. Service records they created stay with the provider, as the Privacy Policy explains.
Availability and support
We aim to keep Careproof available around the clock and tell you in advance of planned maintenance. Email support is included on every plan; phone support and response times depend on the plan, as shown on the billing page. We are not liable for outages caused by things outside our control, including your internet connection and the services we depend on.
Liability
The Australian Consumer Law gives you guarantees that cannot be excluded, and nothing here excludes them. Subject to that, our total liability to you for anything arising from these terms or the platform in any 12-month period is limited to the fees you paid us in that period, and we are not liable for indirect or consequential loss, lost profits or lost data. We do not exclude liability for death, personal injury, fraud or anything else the law says we cannot exclude.
Ending the agreement
You end it by cancelling. We can suspend or end an account that breaks these terms, does not pay, or puts other users at risk, and we tell you why. On ending, "Your data" above applies.
Changes to these terms
We can change these terms. We tell account holders by email at least 30 days before a change that affects them, and the current version is always at app.careproof.ai/terms. Continuing to use Careproof after the change takes effect means you accept it.
Law
These terms are governed by the law of Queensland, Australia, and its courts have jurisdiction.
